Are you reopening your business?

One of the most effective ways to let customers know is with a business reopening announcement. You can control when the message is sent and who it’s sent to. And, since these folks already subscribe to your mailing list, they’re likely eager to hear from your business.

To help, our team created general and industry-specific reopening templates that you can use to let people know you’re reopening your business. I’ve shared a few of them below, along with tips for customizing them.

Pro Tip: If you’re a Thryv customer, head over to Thryv’s Idea Bank, where you’ll find even more email templates you can personalize for your reopening message.

The office will be open for the original working hours of 9 a.m. to 5 p.m. Please ensure you are familiar with our updated office policies and guidelines, which can be found here: [Link].

I understand that this transition may raise some questions, so please reach out if you have any questions.

Keep in mind that these messages are just starter templates. You should customize them to be more personable and geared toward your customer base.

Read on to learn some best practices for writing and sending reopening announcements to customers at your business.

Tips for Writing & Sending Reopening Announcements

Here are five steps you can take to make your reopening announcement more effective.

1. Personalize your messages.

One of the best ways to increase clicks on your emails is to personalize them. Use the customer’s name, location, and any other information you have to make the message feel like it was written specifically for that person.

It’s easy to ignore an email that was clearly sent to a big group of people. But, it’s harder to ignore a message that feels like it came from someone you know.

Here’s where marketing automation can really help out. It’s tedious to write a new email for each of your customers, but email automation can do most of this work for you. Not only can you create email templates and save them for later use, but you can also insert “tokens” that pull in information from your CRM like name, company, address, etc.

business reopening announcement email automation

For example, the image above has a line of text that’s highlighted in blue that reads, “%{client_first_name}.” When the email is sent, that token is replaced with the name of the person you are sending it to. Rather than you having to type each person’s name for each email, the token looks up the email address in your CRM and pulls the client’s name for you.

Pro Tip: Watch these personalization tips from Thryv’s small business expert, Jay Schwedelson.

2. Take advantage of ChatGPT.

If you haven’t tried ChatGPT, you should give it a go for writing email subject lines. It’s great at producing simple lines of text and giving you multiple results to choose from.

Here’s an example. I asked ChatGPT for a subject line for our restaurant reopening announcement.

Here’s what it produced:

  • “We’re Back! Join Us for Our Grand Reopening”
  • “Save the Date: Our Restaurant Is Reopening Its Doors”
  • “Celebrate with Us: Restaurant Grand Reopening Event”
  • “We Missed You! Restaurant Reopening Date Announced”
  • “The Wait Is Over: Restaurant Reopening Details Inside”

You can also check these tips for improving your email subject lines so they’re more likely to catch your customers’ attention.

You can also use ChatGPT to help with ideas for the first draft of your email. Just be sure to reread and edit the text before sending it.

3. Choose the right time to send your email.

According to Moosend, the best time to send an email is Thursday between 8 a.m. and 9 a.m.

best times to send emails

Source

Day and time are important factors to consider when sending a mass email. As you can see from the chart above, people open more emails on some days than others. They don’t usually open as many emails on the weekends, and there seems to be a slight dip in open rates toward the middle of the week.

While there’s no guarantee that your email will be opened, picking the best time to send it will maximize your chances of someone seeing it.

4. Use a positive tone.

The tone of your message can significantly affect whether someone clicks a link to your website or closes your email and moves on to the next one. Taking a positive tone encourages the reader to learn more about your opening announcement. At the very least, your email should stay top of mind for your customers, so they remember you’re open the next time they think of you.

5. Be clear and concise.

Your message should be clear and concise — even if you have big changes to announce. This makes the message readable and encourages viewers to click on a link or learn more about your announcement.

Don’t give everything away in the email alone. Tell them about your big news (reopening date, business hours, etc.), then provide a button or link to your website where they can “learn more” about the announcement. This is called a “call to action” (or a CTA), and it’s a great marketing tool for directing people to your website and social media accounts.

Reopening for Small Businesses

There are plenty of reasons why a small business can temporarily shut down. But, when you reopen, it’s important to remind your most loyal customers that you’re back to providing the products and services they love.

Email is a great communication tool because people who subscribe to your mailing list are invested in your company. Leverage their loyalty to drive immediate sales, and use the templates above to send an effective reopening message.
