For many growing businesses, generating leads isn’t the problem — it’s managing them effectively.
That’s exactly where The Prepared Group found itself.
As a consulting firm, owner and founder Ken Cook focused on helping organizations create predictable revenue; they understood the importance of strong systems. But behind the scenes, their own lead management process was becoming harder to keep up with. Leads were coming in from multiple channels — calls, forms, and conversations — but organizing, qualifying, and prioritizing them required too much manual effort.
The important details were scattered. Follow-ups weren’t always consistent. And identifying which leads needed immediate attention often came down to guesswork.
They didn’t need more leads; they needed a better way to manage them.
When Manual Processes Start Slowing You Down
Like many businesses, The Prepared Group relied on traditional workflows to manage inbound interest. Every lead required time to review, interpret, and route correctly.
But as their business grew, so did the complexity.
Leads could easily slip through the cracks. High-intent opportunities weren’t always obvious. And valuable time was spent piecing together information instead of connecting with prospects.
This is where many businesses hit a ceiling. When your team is stuck organizing leads instead of acting on them, growth slows down.
The Prepared Group knew it was time to simplify and scale their process.
A Smarter Approach With AI Lead Flow
By partnering with Thryv and implementing AI Lead Flow, The Prepared Group transformed how they manage incoming leads, without adding more work to their plate.
Instead of manually reviewing every interaction, AI now works behind the scenes to capture, organize, and prioritize lead information automatically.
With AI Lead Flow, every new lead is instantly:
- Summarized with key details
- Scored based on likelihood to convert
- Tagged with intent and context
- Paired with clear next steps
That means no more digging through notes, replaying conversations, or wondering what to do next.
Everything the team needs to take action is surfaced in one place, in real time.

Frequently asked questions
AI Lead Flow is an automated lead management solution that uses artificial intelligence to capture, organize, and prioritize incoming leads. It analyzes customer interactions —such as calls, messages, and form submissions — to generate summaries, assign lead scores, tag intent, and recommend next steps. This helps businesses quickly understand which leads are most valuable and how to follow up effectively.
AI prioritizes leads by analyzing signals like urgency, buying intent, and engagement level. It then assigns a score to each lead, helping businesses focus on high-intent prospects first. This reduces guesswork and ensures faster follow-up, which can improve conversion rates and overall sales efficiency.
AI-powered lead management helps businesses save time, reduce manual work, and improve response speed. Key benefits include automated lead organization, real-time insights, consistent follow-up, and better visibility into the sales pipeline. By streamlining these processes, businesses can focus more on closing deals and less on administrative tasks.
Faster lead response times significantly increase the chances of converting a prospect into a customer. When businesses respond quickly — especially to high-intent leads —they are more likely to engage prospects while interest is high. AI helps enable this by instantly surfacing priority leads and recommended actions, so no opportunity is missed.
